The accounts team have a couple of process that result in an Excel spreadsheet that is used to create a mailmerge.
Update on Outstanding balance is the exmaple sheet attached (but no data in)
If you populate A1 - AJ and use buttons in L2 - L4 to send. It'll go out of your Outlook with the text from O2 - O4
The accounts team members have to send the emails as themselves as it uses Outlook default account (as we cannot get the spreadsheet to send from a secondary account in Outlook) therefore replies to the emails go directly into the colleagues Outlook.
It would be great to use a robot to send the emails from the correct account (accountsreceiveable@support.travelcounsellors.com), the replies from suppliers would then go directly into Outlook and FW onto Freshdesk to create a ticket for follow up.
Challenges it would remove:
- need for agent name and email to be known by supplier (as sending from own account)
- FTE time in sending mailmerge (believe 2 - 3 processes use this weekly) - Simon Bollington is the Accounts Receivable Manager and would be able to advise further
- replies not forwarding over to Freshdesk correctly (currently rely on mailbox rules rather than sending from correct mailbox in the first place). And contact being the Accounts colleague who is FWing back in
- giving all colleagues using the process access to a device/account to do this. Robot could do it from a suitable trigger (report could be emailed/saved somewhere when ready to send)
